Preparing for the Run

Instructions for All Participants

Please remember that the FIT For Charity Run is a public event and we ask for your support and cooperation in maintaining the goodwill of those local organisations that have made it possible for us to hold this year’s event.

Weather Check

  • The run will take place rain or shine. Only in the event of dangerous weather conditions will the run be cancelled. After 7:00 a.m. on the morning of the run, volunteers and participants can check the top page of this website to determine if the event will proceed.

Entering the stadium

  • Please enter the Stadium through the Sendagaya-mon gate (near Kokuristu Kyogijyo station on the O-Edo line and JR Sendagaya station.) From Sendagaya-mon gate, please go up to the mezzanine level to enter the main stand from gates No. 1-8.
  • No car and bicycle parking is provided. Please use public transportation.
  • Runners are recommended to come after 8am.
  • lunteers will meet at 8am on the mezzanine level. Please visit your company area at 7:30am to pick up your jackets. (Please see the separate volunteer instructions.)
  • Please come dressed and ready to run.
  • Please take care of your personal and valuable items. Confirm with your company captain whether there will be someone to watch your team’s belongings while you are participating in the event
  • Each team will be assigned an area, in accordance with the number of participants. The seating map will be provided to captains in advance and will be posted at each gate entrance.
  • In case of rain, teams should move from the lower deck to the covered upper deck, trying to keep a similar sized area for their team.
  • Banners – Team captains are responsible for hanging their banners on the lower level railing in front of their team. Only Sponsoring companies are allowed to bring banners and they should be less than 2 square meters in size.
  • Pets are not allowed on the Stadium premises.
  • There are six changing rooms available on the ground floor of the stadium; four are for women and two are for men. Please do not use the showers.

Volunteers and staff

  • This event is supported by volunteers from some of participating companies. Please follow their instructions.
  • If you have any questions that a volunteer cannot answer, please ask the event staff wearing green jackets.
  • Medical volunteers wear yellow jackets. Please contact them if you need medical support.

Instructions for runners and walkers

  • All runs will start on the track in the Stadium. Runners/walkers for each event will be asked to come in only from the South gate of the stadium on the side nearest Yoyogi-mon gate to avoid congestion.
  • Participants head towards to the start line 20 minutes before each run begins and should reach the start line 10 minutes before the run begins.
  • To move from the viewing area to the track, please use the Mezzanine and the stairs near Yoyogi-mon gate. Please follow the FIT volunteers who will guide you to the start line. Also, please be careful not get in the way of runners when you move to the start line, especially crossing near Yoyogi-mon gate.
  • Do not take anything with you to the start line that you will not run with because there is nowhere for storage. For example, your coat or bag. In case of rain, you can leave your coat near the start line and pick up after you finish the run. However, please note that the FIT For Run 2008 Organising Committee (The Organising Committee) will not be responsible for your belongings.

Kids’ sprint

  • Children between 3-15 years old who can run at least 50 meters on their own can take part in this event. Running distance will vary according to the children’s age.

  • Please head towards the track 20 minutes before the event (12:00) and assemble near the North gate nearest to Sendagaya-mon gate by 12:10.

4 x 100m relay

  • We will have 4 races with up to 7 teams in each race. We will distribute the starting list, showing each team, their race and their lane, to captains in the week before the event. Please decide in advance the order of your runners.
  • Please head towards the track 20 minutes before the race (11:10) and assemble at the semi-circle area (near the soccer goal) on the North gate side by 11:20. We will go through the race logistics and volunteers will take runners for each race out to their starting points.
  • The top 2 teams in each heat will go through to the final, which will be held about 10 minutes after the last heat has finished. If you make it through to the final, please do not go back to your seat, but please remain at the drinks station at Yoyogi-mon gate until you are called for the final.

When you run

  • Please run on the course indicated by the FIT volunteers in order to prevent accidents with cars or pedestrians.
  • Runners should overtake on the right. If you are a slower runner, please keep to the left. Please take care when you run and show respect to others, especially those who may be one lap or more behind.
  • Run on the driveway from Aoyama-mon gate to Sendagaya-mon gate and do not run on the sidewalk. (The driveway will be closed to the runners at 12:00. Please follow the FIT volunteers and walk on the sidewalk from 11:50)
  • The 10k run and 4k fun run may be discontinued at 10 minutes before the start of the next event. After this timing, please follow volunteers’ instruction.

Counting your laps

  • If you are a 10k runner, you will run 5 laps on the course. To help you count laps, bring 5 rubber bands with you to keep on your wrist, and remove one rubber band each time you complete a lap to place in the boxes at the entrance of the Stadium track at Sendagaya-mon gate.
  • Please note the FIT Organising Committee will not provide runners with rubber bands.

Water stations

  • Water stations will be set up at Yoyogi-mon gate (outside the South Gate) and Sendagaya-mon gate (outside the North Gate).
  • Water will be served in PET bottles.
  • Please give your empty bottle to a the volunteers holding polyethylene bags by the roadside. Do not throw bottles away on the road.
  • If you are a walker, please bring your empty bottle to the finish line with you to lessen the workload of the volunteers.

Pedestrians crossing the street

  • The course outside the Stadium premise (Gaien Course) will be free from traffic during the event. Nevertheless please watch for pedestrians crossing the street, as the area is still open to the public during the event.
  • On the day of the event the Icho Matsuri (Ginkgo Tree Festival) will be held and a large number of visitors are expected.
  • Be sure to stop and wait if pedestrians are crossing the street on the course.
  • Be sure to follow the directions of the traffic control volunteers.

Motor Vehicles Crossing the Running Course

  • The course outside the Stadium premise (Gaien Course) will be free from traffic during the event. Nevertheless there may be vehicles crossing the running course through Kitaichi-mon gate and the Marathon-mon gate to enter the Stadium premises.

First aid

  • If you get hurt or feel sick during the event, be sure to take a rest or stop running or walking. The medical volunteers wearing yellow jackets on the sidewalk will help you in an emergency.
  • First-aid stations are set up at FIT Committee HQ in the Stadium and the Aoyama-mon gate.
  • In cases where treatment at a hospital is needed due to an accident, injury, or sickness during the event, you will be able to claim through the FIT insurance company. Please consult the volunteer medical doctor at the First-aid station in the stadium to obtain a claim form. If you needed a form after the event for some reason, please email webmaster@fitforcharity.org.

At the finishing line

  • After crossing the finishing line, be sure to vacate the course area as promptly as you can to make room for other runners following behind you. In the 10k run, there may be many runners who are still running laps on the track.
  • Leave the track area through the South Gate to take a rest. A drinks station can be found on the mezzanine level.

Refreshments and food

  • Refreshments and food will be available on the mezzanine level.
  • No food or drink is allowed on the track.

Charity

  • FIT for Charity is dedicated to supporting non-profit community organisations serving important, but not necessarily well-recognised needs, with limited fundraising capabilities in the greater Tokyo area. The 2008 Organising Committee selected 10 non-profit community organisations upon a thorough review.
  • These ten non-profit community organisations will take an equal share of all the proceedings from the FIT for Charity event.
  • There will be an exhibition booth by these ten organisations on the mezzanine level of the Stadium. We would encourage all participants to drop by to learn about the great work by these organisations tackling the social issues to change and improve the community we live in.

Lawn areas

  • Do not enter the lawn area in the Stadium.
  • Do not leave your belongings in the lawn area. Any belongings found in the lawn area will be removed and disposed of.
  • Do not spill your drinks in the lawn area.

Waste Materials

  • Do not leave rubbish or garbage on the running course or in the Stadium premises. Please take any rubbish with you when you leave or dispose of it in one of the garbage bins at Entrances No. 1-8.

Leaving the Stadium

  • Please be sure to pick up all waste materials and clean up the space your team has used in the Stadium.
  • We thank you for your cleaning-up any waste materials left in the areas used by other teams.
